Strategic Priorities
Establish a fully-functioning program that addresses the challenges of managing the electronic records of government.
The State Archives will develop an approach to manage the records of state and local government, including the storage and destruction of non-permanent electronic records of state government, and the preservation and access to the permanent electronic records of state and local government as appropriate. We will partner with others to develop statewide policies that ensure the preservation and management of permanent electronic records.
Activities in 2007-08, 2008-09 to support this priority:
- Initiate a public relations campaign to develop support for a serious archival electronic records management system in New York.
- Launch a public awareness campaign promoting the Archives’ electronic records holdings.
- Investigate electronic records partnerships with other states.
- Develop a research agenda and initiate a regular and intensive system of research on electronic records technology.
- Develop internal preservation standards to address important areas of interest.
- Develop a secure, trustworthy and largely automated digital repository that can ingest, store, and preserve electronic records.
- Develop technical and informational appraisal standards to be used in evaluating electronic records systems.
- Develop procedures for staff and agencies for dealing with the Open Document Format.
- Establish and enforce procedures for creating and storing Archives’ electronic business records within an electronic document management system.
- Develop guidelines for state agencies and local governments that correspond with our internal preservation policies.
- Expand the use of electronic records inventory by piloting a state agency inventory and developing an online tutorial on inventorying electronic records.
- Work with agencies to make their electronic records in/outside Archives custody accessible online.
- Help establish consistent electronic recordkeeping practices between state agencies and local governments where they share in records creation.
