2008 RMO Meeting
Save the date! The 2008 Annual RMO Meeting will be held on Thursday May 8th from 9 to 12 at the New York State Archives. This year’s themes will be e-mail and e-discovery. A more formal announcement and registration information will be sent out in the next couple of weeks.
Published General Schedule
The State Archives has just received copies of the printed General Retention and Disposition Schedule and will be distributing two copies to each agency’s RMO. If you do not receive your copies in the next few weeks, please let us know (sdurling@mail.nysed.gov or 518-473-6803).
Records Center News
If you are storing records scheduled for transfer to the Archives, please indicate that on the line for that entry on the Records Center transfer list. When preparing transfer lists, refer to the publication on Using the State Records Center at http://www.archives.nysed.gov/a/records/mr_pub83.shtml. Best of New York Awards
At the recent 2008 Best of New York Conference, several state agencies were honored for their achievements in various technology innovations and best practices initiatives. While not always directly tied to records management, these programs exemplify the kind of achievements that can be made in state government and we would like to acknowledge their successes.The IT Governance Award was presented to the NYS Integrated Justice Advisory Board which provides a functional, multi-agency IT management model. Participating agencies on this project include the Division of Parole and the Division of Criminal Justice Services.
The Excellence in Project Management Award was presented to Brenda Breslin, of NYS CIO/OFT for the creation and accomplishments of the agency’s Program Management Office.The Excellence in Rapid Project Delivery Award was presented to the NYS Division of Criminal Justice Services for the implementation of the State Temporary Electronic Fingerprint Transmission Specification Processing Server which provides off-site fingerprint processing during disasters.
The Excellence in IT Operations, Support and Service Award was given to the NYSeMail Team, at the NYS CIO/OFT for their outstanding service and dedication, providing email services to 50,000 government users.
The Project Best Advancing Department/Agency Business Objectives award was presented to the NYS Office of Cyber Security & Critical Infrastructure Coordination’s CIRIS (Critical Infrastructure Response Information System) web-based GIS and text inquiry project.
The Project Demonstrating Best IT Collaboration Among Organizations award was given to the Board of Elections’ NYSVoter Statewide Voter Database project that integrates county and state voter registration databases and connects them with the Social Security Administration.
The Project Best Advancing Service to the Public Award went to the Traffic Ticket ePlead, project at the NYS Department of Motor Vehicles which allows users to pay tickets online and has been utilized by 120,000 citizens in its first year.
The Green IT Award is presented for IT Greening Efforts also went to the Department of Motor Vehicles for their efforts in reducing waste and energy consumption.
The Special Award for Excellence in Public Safety was presented to the State Emergency Management Office for NY-ALERT, a web-based portal that provides state-wide hazard and alert information to subscribers.
Congratulations go out to all of the winners.
Workshops and Training
The Archives has made an abbreviated version of its spring training schedule available via the web. All workshops are open to anyone who is interested in attending. To register, go to http://www.archives.nysed.gov and click on "Workshops" on the left menu. Send an e-mail to the address listed on the page with your name, affiliation, phone number, and e-mail address, and include the title and date of the workshop you wish to attend. You will be contacted to confirm and complete the registration. Directions will be sent in the mail within a week of the workshop date.
